Privacy Policy
Last updated: 25 August 2026
BuilderX ERP (“the Platform”) is owned, developed and managed by Beacon Coders (www.beaconcoders.com, “Beacon Coders”, “we”, “us”). This Privacy Policy explains what information we collect through the Platform, how it is used, and the choices available to you. By using the Platform you agree to the practices described below.
1. Who this applies to
The Platform is a business-to-business, multi-tenant CRM licensed to real estate builders and developers (“Customers”). Each Customer’s administrator creates accounts for their own employees and channel partners (“Users”), and Users may enter data about prospective buyers (“Leads”). Beacon Coders processes this data on behalf of the Customer to operate the Platform.
2. Information we collect
- Account data — name, work email, phone number and role, provided by a Customer’s administrator when creating a User account.
- Lead & customer data — names, contact details, enquiry details, site visit and booking records entered by Users, or received from connected lead sources.
- Usage data — login activity, IP address and an audit trail of actions taken in the Platform, used for security and support.
- Uploaded documents — KYC, agreement and payment documents uploaded by Users for their own Customer organization.
3. Meta (Facebook & Instagram) Lead Ads integration
The Platform offers an optional integration that lets a Customer connect their own Meta Business account to automatically import leads generated by their Facebook and Instagram Lead Ads forms. When a Customer’s administrator connects this integration:
- We request access only to the Pages and lead forms the Customer explicitly authorizes via Meta’s login dialog.
- We retrieve lead form submissions (e.g. name, phone number, email and any custom questions the Customer configured in their ad) solely to create corresponding Lead records inside that Customer’s own workspace.
- This data is used only to power the Customer’s sales pipeline. It is never used for advertising, profiling, or any purpose outside providing the Platform to that Customer, and it is never sold or shared with data brokers.
- Access tokens are stored encrypted at rest and are used only to fetch that Customer’s own leads on their behalf.
- A Customer may disconnect the integration at any time from Integrations settings, which stops further syncing. See our Data Deletion page to request removal of previously imported data.
Our use of information received from Meta will adhere to the Meta Platform Terms, including the Limited Data Use requirements.
4. How we use information
- To provide, maintain and secure the Platform for the Customer that owns the data.
- To authenticate Users and enforce role-based access within their organization.
- To generate reports, notifications and audit trails requested by the Customer.
- To provide customer support and respond to requests sent to us directly.
5. Sharing of information
We do not sell personal information. We share data only with infrastructure sub-processors strictly necessary to run the Platform (database hosting, caching, error monitoring, and transactional email/SMS/WhatsApp delivery when a Customer enables those channels), each bound by confidentiality and data-processing obligations, or where required by law.
6. Data retention
Data is retained for as long as the Customer’s subscription is active and as needed to provide the Platform, after which it is deleted or anonymized within a reasonable period, except where a longer retention is required by law or a signed agreement with the Customer.
7. Security
We apply industry-standard safeguards including encrypted transport, hashed credentials, role-based access control and audit logging. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your rights
Users and Leads whose data is processed on the Platform may request access to, correction of, or deletion of that data by contacting the Customer organization that manages it, or by following the instructions on our Data Deletion page.
9. Children’s privacy
The Platform is intended for business use by adults and is not directed at children. We do not knowingly collect information from individuals under 18.
10. International transfers
Beacon Coders is based in India and Customer data may be processed and stored on servers located in India or other regions where our infrastructure providers operate.
11. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
